Who we are
West Bretton Cricket Club is the organisation responsible for the personal information described in this notice.

Information we may collect
Depending on your relationship with the Club, this may include:
- name, address, email address and telephone details;
- date of birth and membership information;
- parent or carer information for junior members;
- emergency contact information;
- playing records, statistics, availability and team information;
- membership payments and subscription records;
- volunteer, coaching, qualification or role information;
- photographs and video;
- communications with the Club;
- accident, incident or safeguarding information where relevant; and
- health, medical or accessibility information where reasonably necessary for safe participation.
Why we use personal information
We may use personal information to:
- administer membership and subscriptions;
- organise cricket, coaching, fixtures, teams and Club activities;
- manage junior membership through parents or carers;
- communicate important membership and Club information;
- process membership payments;
- maintain playing and Club records;
- support safeguarding, welfare, health and safety;
- meet league, governing-body, insurance and legal requirements;
- manage volunteers, officials and Club roles; and
- use photographs, video or promotional communications where the appropriate permission or another lawful basis applies.
Our lawful bases
The lawful basis depends on what we are doing with the information. We may rely on:
- performance of the membership arrangement or another contract;
- compliance with a legal obligation;
- the legitimate interests of the Club and its members;
- consent where consent is the appropriate basis;
- vital interests in an emergency; or
- another lawful basis permitted by data-protection law.
Where we rely on consent, you can withdraw that consent for future use. Withdrawal does not make earlier lawful use invalid.
Junior members
Children's information is handled with particular care. Parents or carers will normally be involved in the collection and management of a junior member's information where appropriate.
The Members Area allows a parent or guardian account to manage a linked junior member without the child needing a separate login.
Who we may share information with
We may share personal information where reasonably necessary with organisations such as:
- the England and Wales Cricket Board and Cricket Regulator;
- Yorkshire Cricket Board, cricket leagues and competitions;
- Play-Cricket and approved cricket-management systems;
- payment providers such as Stripe;
- hosting, email and other IT service providers;
- insurers and professional advisers;
- emergency services or statutory authorities; and
- safeguarding organisations or authorities where appropriate.
We do not sell members' personal information.
Payments
Card payments for membership are completed using Stripe's hosted Checkout service. West Bretton Cricket Club does not store your full payment-card details in the Club membership database.
How long we keep information
We keep personal information only for as long as reasonably necessary for the purpose for which it is held, including membership, administration, accounting, insurance, dispute-resolution and legal requirements.
Some records, particularly safeguarding records, may need to be kept for different or longer periods in accordance with applicable safeguarding requirements. The Club will maintain and review appropriate retention arrangements.
Security
We use reasonable technical and organisational measures to protect personal information. These may include restricted access, secure authentication, access permissions, backups and appropriate security arrangements with service providers.
Your rights
Depending on the circumstances, data-protection law may give you rights to ask for access to your information, correction, erasure, restriction, portability or to object to certain processing.

Complaints
